Privacy Policy

AIgentic.media respects your privacy. This policy explains what personal information we collect, why we collect it, and the choices you have.

Last updated: July 29, 2026

1. Introduction

AIgentic.media (“AIgentic”, “we”, “us” or “our”) is committed to protecting the privacy of visitors to our website aigentic.media (the “Site”) and of the clients who use our services. This Privacy Policy describes how we handle personal information in accordance with applicable data protection law, including the EU General Data Protection Regulation (GDPR).

2. Who is responsible for your data

The controller responsible for the processing of personal data on this Site is:

3. Information we collect

We only collect information that we genuinely need. Depending on how you interact with us, this may include:

  • Contact & enquiry data — your name, email address, company, and the content of any message you send us through our contact form, our website chat, or by email.
  • Client & project data — information you share with us in the course of a project engagement.
  • Technical & usage data — IP address, browser type, device information, referring pages, and interactions with the Site, collected automatically via server logs and cookies.

4. How we use your information

  • To respond to your enquiries and provide the services you request;
  • To deliver, maintain, and improve our services and our website;
  • To communicate with you about projects, updates, and — where you have consented — marketing;
  • To ensure the security and integrity of our Site;
  • To comply with legal obligations.

5. Legal bases for processing (GDPR)

Where the GDPR applies, we rely on the following legal bases:

  • Consent (Art. 6(1)(a)) — e.g. for non-essential cookies or marketing communications;
  • Contract (Art. 6(1)(b)) — to answer enquiries and deliver services you request;
  • Legitimate interests (Art. 6(1)(f)) — to operate, secure, and improve our Site;
  • Legal obligation (Art. 6(1)(c)) — where we are required by law to process data.

6. Cookies & analytics

Our Site uses cookies and similar technologies that are strictly necessary for it to function, and — subject to your consent — analytics cookies. We use Google Analytics (GA4) to understand how the Site is used (e.g. pages visited, time on site, visitor origin). On your first visit, we show a cookie banner: analytics cookies are only set once you actively consent (“Accept”); choosing “Reject” keeps them disabled. Where your browser sends the “Global Privacy Control” signal, we automatically treat this as an opt-out and do not enable analytics cookies. You can reset your choice at any time via your browser settings (clear cookies) to be asked again. Cookies that are strictly necessary for the Site to function can be controlled or deleted through your browser settings.

7. Third-party services & processors

We use carefully selected service providers to run our business. These may act as data processors on our behalf and include hosting/infrastructure providers, email providers, and — where relevant to a project — AI model providers. Current key providers: our hosting provider (Contabo) and our own self-hosted infrastructure for email and contact-form processing. The chat assistant on our website sends your messages to a third-party AI model provider to generate a reply; processing happens in real time and solely to produce that response. Where a client engagement involves AI-generated deliverables, we may additionally use third-party AI model providers as needed for that project. We put appropriate agreements in place with each of them.

8. How we share information

We do not sell your personal data. We share it only with the processors described above, with professional advisors, or where required by law or to protect our legal rights.

9. Data retention

We keep personal data only for as long as necessary for the purposes described in this policy, or as required by law. Enquiry data is typically retained for the duration of our correspondence and a reasonable period thereafter; project data is retained for the term of the engagement and applicable statutory retention periods.

10. Data security

We use appropriate technical and organisational measures — including encryption in transit (HTTPS), access controls, and regular updates — to protect personal data against loss, misuse, and unauthorised access. No method of transmission over the internet is completely secure, however, and we cannot guarantee absolute security.

11. International data transfers

Some of our providers may process data outside your country or the European Economic Area. Where this happens, we rely on appropriate safeguards such as the European Commission’s Standard Contractual Clauses.

12. Your rights

Subject to applicable law, you have the right to:

  • access the personal data we hold about you;
  • request correction of inaccurate data;
  • request deletion of your data;
  • object to or restrict certain processing;
  • request portability of your data;
  • withdraw consent at any time; and
  • lodge a complaint with a supervisory authority.

To exercise any of these rights, contact us at contact@aigentic.media.

13. Children’s privacy

Our Site and services are not directed at children, and we do not knowingly collect personal data from children under the age of 16.

14. Changes to this policy

We may update this Privacy Policy from time to time. The current version is always available on this page, with the “Last updated” date at the top reflecting the most recent changes.

15. Contact

If you have questions about this Privacy Policy or how we handle your data, please contact us at contact@aigentic.media or at the address listed in our Imprint.
